Alerts and report scheduling
Alerts and report scheduling provide an early warning system to notify users about changes in performance. They help to automate discovery and learning, and remove the task of manually monitoring performance and providing updates.
Users can save time and money by pre-defining which reports they are interested in and scheduling them to run automatically; or, they can choose to be alerted to key changes and be sent those analytics via email. By automating repetitive reporting tasks, Zap Business Intelligence ensures that reports are created and distributed when needed and without error, saving time, effort, and money.
Zap’s configurable functionality includes:
- Alerts – Notify users of key changes to KPIs such as gross margin falling under target, or a new sale being made; and changes to resources such as reports. Alerts can also be sent based on scheduled events, such as a daily sales update each morning. Alerts can be based on:
- Scheduled Events – time conditions, which might be a specific date, or recurrence pattern. For example, an event might be the third Thursday of each month, or on 3.Dec.2010 at 8:30am. Each time the event happens, any alert using this event will be triggered.
- Conditional Events - logical conditions using KPIs that trigger alerts when the KPI value falls below or above a certain level. For example, alert the operations manager when warehouse stock has fallen below a certain level.
- Resource Changed Events – the update of resources (such as reports) within Zap Business Intelligence can be used to activate alerts. They allow designers and administrators to monitor key resources. Any number of resources can be monitored; if any one of the specified resources changes, the event is triggered.
- Alerts with insight – Alerts can be sent with contextual reports to immediately highlight the cause of the change.
- Flexible distribution and subscription – The same report can be scheduled to run multiple times with different parameters, formats, frequencies, and destinations. Report distribution is based on a combination of events and timeframes. Zap Business Intelligence users can also subscribe to existing reports to gain more control over the information they receive. PDF management reports can be distributed to non-Zap users, such as customers.
- Security automatically applied – Individual user security is automatically applied to any analytics that are distributed with an alert.
